What Are Workflow Management Rules?

Workflow management rules are the process and guidelines that define the manner in which workflows are executed. They specify which steps should be performed and when it is possible to follow the most efficient way to the end. If a company uses a well-organized workflow to automate its most repetitive, predictable tasks, it frees up employees’ time to focus on strategic projects.

Workflows can be created in many formats to fit any project. A sequential workflow, for example one that is sequential, means that the next task cannot begin until the previous one is completed. This is a common feature in expense management workflows where employee reimbursement is contingent on receipt submission and payment authorization.

A state-machine workflow is a series of tasks on a product in a certain order, with each step moving the work product into different states, like “being written” or “completed”. State-machine workflows may also include additional rules, for instance if-this then-that conditional logic, that determine the process’s course.

Parallel workflows enable multiple steps to be carried out simultaneously to achieve a goal, like sending the garment to a customer after the company has confirmed that it is in stock. All of these can be automated by a workflow software.

With the right workflow management tools it’s simple to create and manage structured processes to maximize productivity, accountability, and efficiency. By streamlining communication and making sure everyone on the team has clearly defined duties and responsibilities, managers can eliminate confusion that causes missed deadlines and loss of momentum in crucial projects.
